Job Duties

Position Overview

We are seeking a detail-oriented Maintenance Administrative Assistant to support the Maintenance department with administrative functions including billing, quotes, scheduling, and handling miscellaneous calls. This role is essential in assisting management and ensuring smooth operational processes within the department.

Key Responsibilities

• Assist management in assembling quotes by coordinating with Engineering and Paint departments for necessary input.

• Support preparation of bid proposals for contracts of all sizes and aid in project gate reviews as needed.

• Develop and maintain the Maintenance department’s schedule and manpower plan.

• Answer and direct phone calls for the Maintenance department.

• Help management develop standard processes and quote sheets for the department.

• Coordinate with Purchasing and Logistics to facilitate the movement of aircraft parts to Maintenance.

• Assist in preparation of billing documents and support hosting of customers onsite.

• May monitor shared department inbox and respond as necessary.

• Perform other duties as assigned.

Job Qualifications

Requirements

• Clerical or customer service experience preferred.

• Proficiency in Microsoft Outlook, Excel, and Word. Experience with MS Project is a plus.

• Strong customer focus with excellent verbal and written communication skills.

• Detail-oriented team player with excellent multi-tasking abilities and ability to manage competing priorities in a fast-paced environment.

Education

• High School Diploma or GED required.

• Associate’s or Bachelor’s degree is a plus.

Pay

$20.00-$30.00
